Accommodation and Travel bookings by Travel Desk
Once a travel request is approved a dashboard and email notification will come
to the person having the Travel Desk. To access the approved tour form follow the steps given
below
1. Go to Work Area > Activities > Pending Activities tab
2. You will find the approved tour requests on this page as shown below

3. Click on Edit to access the form where you can see the details of the request
submitted by the employee

4. You can update the booking details in the lower portion of the form and also
upload the ticket and accommodation details using the Upload Tickets, Upload
Hotel Bookings buttons. Please take care to use the correct button as these documents
are also sent on email.
5. Put your remarks if any in the remarks box and click on Submit to submit the
form. The employee will get a notification and also an email with the booking
details are attachments.
6. If you want to return the form back to the employee for re-submission you can do so by clicking on Return button.
Cancelling booked ticket / accommodation details
Cancellation of ticket / accommodation details booked by Travel Desk can be done if needed till the tour request is not linked to an expense claim request. Steps to be followed are
1. Go to Work Area > Archive tab
2. In the search filters enter "Tour", "Employee Name" and date range of the Tour request.
3. Click on "View" to open the request and then click on "Cancel Bookings" button and provide appropriate remarks
The Tour request will be updated on Returned status and alert will be sent to employee.
