Data security and privacy of Personally Identifiable Information

EazeWork HRMS stores a large amount of Personally Identifiable Information (PII) of employees. This data is needed by the employers as a part of their employee management activities. With the advent of GDPR and other similar privacy laws across the globe the onus on employers and platform providers like EazeWork is very high to ensure that data security and privacy is maintained at all times.

Data Privacy tools available to the Employers

EazeWork HRMS is designed with the principal of giving complete control to the Administrator on what fields of employee's data can be seen by which role holders. The following features are used in this -
- Access of My Profile page : access is controlled and whether upline managers can see their team member's details or not can be managed - refer article on "HRIS Setup" for more details
- Activation of sections / fields with My Profile page : if some sections / fields are not needed by the company they can be removed / deactivated from the system
- Controlling visibility of reports - each report can be configured with the access list - refer article on "Managing reports" for more details

Data Privacy and Security features deployed by EazeWork

1. Database encryption : Personally identifiable information (PII) like name, email id, phone number, family details, address, salary details etc. are encrypted and stored so that even in case of an unauthorized access this information cannot be read. Other transactional data is not encrypted but is separated using a system generated key which renders it irrelevant if accessed in isolation.

2. Aadhaar Data vault : A virtual data vault is implemented specifically to handle storage of Aadhaar details. The Aadhaar data vault meets the guidelines outlined by the GOI through circular dated 25th July 2017. Aadhaar number is needed for creation of new joiner's ESI number and UAN number if they are not available.
