If due to some reasons senior managers of a company are not able to manage the approvals of requests which are being marked to them then using the delegation feature they can delegate the authority to do so to their "Assistant".
This feature can be enabled for any employee by HR Manager or HR Executive and employees for which the delegation feature is enabled are called "Executives" in this document for the purpose of clarity
Activation and initial setup of delegation feature
1.
Get in touch with your EazeWork Account Manager to activate this feature
2. Once the feature is activated you would be able to map Assistants on the Official Details section on employee's Profile page for the employees for whom you want to enable this feature, as shown below -
3. After an Assistant is mapped for an Executive the HR Manager can delegate the processes to the Assistant from HR Mgr > Employee Details > Delegation tab as shown below.
The Assistant will get a notification with the details of the process for which
delegation is done. As of now delegation is available for the following processes
-
a) Leave
b) Missing Attendance
c) Time Modification and Back Dated Attendance
3. The Executive can also delegate the processes after the Assistant is mapped. Refer to the article on Managing Account Preferences for more details.
Removing delegation option
There
are two stages in removal -
1. First the process level delegation has to be removed either by HR Manager
(from HR Mgr page) or by Executive himself (from Preferences page)
2. If no processes are delegated to the Assistant then his name can be removed
from the dropdown will by the HR Manager
Please note :
1. The name of the Assistant will come against Pending With in reports / pages.
Pending tasks and Weekly reminders will also go to the Assistant
2. When the assistant approves or rejects the request on the bottom of the request
the name of Assistant with "(on behalf of xxxx)" will come
3. If the Assistant resigns system will send a reminder alert two days before
his last working day to the HR Manager to change the Assistant mapping. After
the last working day the delegation feature will be revoked and processes will
be mapped back to the Executive
4. If the Executive resigns the processes will be transferred to his manager
or to Application Administrator if Manager is not mapped even if Assistant is
marked for the resigned Executive
5. If HR Manager makes changes on Official details then the impact of those changes
will be reflected on the existing in-process requests which might be pending
with the Assistant, for example
a) if Manager is changed and the new manager has a different assistant then the
in-process requests will go to the new assistant, if he does not have an assistant
then they will come to him
b) if Department is changed from a back date then requests pending with the Department
Head's Assistant will not be moved
c) if Department is changed from a future date then on the date when this change
becomes effective the requests will be moved
