Salary slips can be generated and published to employees without using payroll module. This is a premium feature and available only to Paid accounts after customization. This feature is used primarily for countries for which payroll is not supported in EazeHR. In HR Manager section a menu "Salary Slip" is visible when this feature is activated. If payroll is activated then this feature cannot be taken and vice versa.
Process to be followed to generate and email salary slip -
1. Select the month for which salary slip has to be generated : This month should not have been closed beforehand.
2. The list of salary heads will be shown
- You can add, edit or remove heads by clicking on "Add New" or by using "Edit" or "Delete" action buttons on the row. Click on Submit after you had made changes to the heads, make sure that all heads to be used in salary slip are there in the table
2. On clicking "Submit" the upload excel section will be opened.
3. Click on "Download Salary Template" to download salary slip excel and complete the data in excel. Click on "Upload Template" to upload excel.
After data is uploaded you can see message on screen and also you can download approved or reject data by using the "Download Approved Data" and "Download Rejected Data" buttons. Click on "Submit" to upload the approved data.
4. On submission the data would be visible on the first table against the month entry and the number of records uploaded will come in the column "Uploaded Salary Slips".
Click on "Close Payroll Month" if all the data has been uploaded and you are ready to publish and email salary slips.
5. Once you have closed the payroll month you will get the option to "Process"
the salary slips. When you process the salary slips the screen shown below opens
up. From here you can
- publish the salary slip on EazeHR
- send salary slip in an email to the registered email id of the employee
- download all the generated salary slips in a zipped format
If there are multiple HR managers in the company then each HR manager can run this process only for his set of employees.
6. Once the salary slips have been generated you can remove the record from the table by using the "Hide" option
Hidden records can be recalled using the "Recall Records" drop-down.
