Leave parameters which can be edited can be divided into three groups
1. Parameters which do not have any impact on accrual - These parameters can be changed at any point of time and there will be no impact on the list of employees eligible for the leave or accrual values. These parameters are - Leave Type, Short Code, Holiday / Weekly Off Counted, Carried Forward, CF Minimum Limit, CF Maximum Limit, Partial Day options, Future / Past Entry Period, Maximum Number Of Days Allowed Per Leave Request, Maximum Number of Incidences, Allow to apply leave during notice period, Attachment Compulsory, Leave Gifting Allowed , Clubbing Not Allowed With These Leaves, Allow Leave Encashment and Notice Period adjustment, Partial Accrual in Joining and Last Months & Leave Description.
2. Parameters which have an impact on the accrual logic - Reduce Accrual Linked to Approved LWP, Leave Basis, Leave Value, Accrual Method - if any of these parameters are changed then the past accruals are not changed. Impact will only be there for future accruals.
You also need to be very careful when changing Leave Basis or Accrual Method.
For example if Leave Basis / Accrual Method is changed from Quarterly / Beginning
of Quarter to Per Annum / Beginning of Year then the next accrual will be done
only in the beginning of the next leave calendar year.
On click of "Submit" at the bottom of the page the above reconfirmation message
will come.
3. Eligibility Criteria change - when eligibility criteria is
edited there is an impact on the mapping of leaves to employees. There are four sets of employees
a) not eligible earlier but is eligible now - there is no impact on them
b) not eligible earlier and not eligible now - these employees will become eligible for the leave. To these employees accrual will be given from the calendar year start date, DOJ or Leave start date which ever is later
c) eligible earlier but not eligible now - will be able to
consume the leaves in their balance through out the year. At the end of year
their leave will be carried forward but new leaves will not accrue
d) eligible earlier and eligible now - there is no impact on these employees
1. Click on "Change Eligibility Criteria" button
2. On the popup as shown below you can update the new condition and test it to see the list of employees getting mapped to it.
3. Once you make the change you will be able to see the old and new eligibility criteria on the page till the new one becomes active.
4. Click on "Submit" on the bottom of page the confirmation message will come which you will have to accept.
History of changes in these parameters is not maintained and if any parameter
is changed the impact will be only for subsequent approvals or for subsequent
accruals. Leave setup on an earlier date before the parameters were changed cannot
be shown or referred to.
