Once the offer has been rolled out the activities to be done by Recruiter are
-
1. Accept / reject the offer letter on behalf of candidate
2. Close / transfer the record
Offer acceptance on behalf of candidate
If
candidate is not accepting the offer through email or if you want to speed up
things and you have his acceptance outside the system then you can update the
offer as accepted on behalf of the candidate. Steps to be followed are -
1. On the dashboard click on the employee record for which you want to update
the offer status
2. You will be navigated to candidate assessment page > Recruiter section
tab
3. Update the agreed date of joining
Similarly if the candidate has informed that he is not accepting the offer you can update the status here, a reason for offer rejection will be asked.
Close / transfer the record
Once the offer has been updated as accepted the record needs to be transferred
to HRIS. If for some reason the record is not to be transferred to HRIS click
on "Close record without transferring to HRIS", this will remove the record from
dashboard keeping the status as Joined.
Steps to be followed -
1. On the dashboard click on the employee record which you want to transfer to
HRIS
2. You will be navigated to candidate assessment page > Recruiter section
tab
3. To transfer the record, click on "Transfer to HRIS" button. You will see a popup as shown below.
You will need to update the following fields :
- Mobile Number : enter the country code and verify the phone number is correct,
this is important since the communication of how to activate the account will
go through SMS to the employee
- License type : select if you want to create a web or a non-web user (this option
will come only when non-web licenses option is activated)
- Expected date of joining : this is the expected date of joining which will
be taken in records and it can be changed by the HR Manager subsequently
4. If you want to close the record without transferring data into HRIS, click on "Close record without transferring to HRIS" button. You will be able to remove this record, if you want you can update the date of joining on the popup.
You can change the date of joining and submit the record. This record will not be transferred into HRIS but will be reflect in candidate database as being on Joined status.
Data Transfer from Recruitment to HRIS
When
the candidate record is transferred from Recruitment module to HRIS, then the
following data is also transferred -
From Candidate record
- Salutation / First, Middle and Last name / Gender/ Date of Birth
- Present Address and Permanent Address
- Mobile Number as updated above
From Offer details
- Date of Joining and Office Location
- Sr Level / Department / Division / Company / Manager / Employee Type
- Salary Structure
Note - the data which is transferred can be changed by the HR Manager in HRIS or by Payroll Manager in Payroll module but the changed data is not updated back in Recruitment module. For example if you transfer a record with a date of joining of 10-May-2018 to HRIS and the HR Manager changes the date to 15-May-2018 the recruitment records will continue to show 10-May as the date of joining.
All the policies like notice period, probation, leave are applied to the employee
when his record is updated by the HR Manager. To understand the workflow of how
