Ownership of assets which are in Allocated or Allocation Marked status can be
taken back by the IT / Office manager. This is allowed to enable them to correct
the records if employee has returned the asset without submitting an asset return
request in the system.

Case I - Asset recovery during separation
- If an employee has some assets and his resignation request comes to IT / Office
Manager for approval than all assets which are allocated to that employee, are
visible in the tab where IT / Office Manager approves the resignation request
- IT / Office Manager can put appropriate remark at the time of separation approval
and he can update the Asset status from "Allocated" or "Allocation Marked" to
"Available" from Asset Register page, when the status changed to Available than
all assets which are available to employee are removed from the employee assets
page and updated in the inventory as available
Case II - Recovery in case of absconding with asset - If
an employee who was allotted some assets is absconding and has not returned the
assets, then the following steps needs to be followed -
- IT / Office Manager needs to put the comments and update the recovery amount
in the separation request while approving the same, this amount would be visible
to the Payroll Manager when he does the Full and Final.
- IT / Office Manager can update the Asset status from "Allocated" or "Allocation
Marked" to "Available" on Asset Register page, assets are removed from the employee
assets page and then he can update the status as "Unavailable" giving the appropriate
reason
Note - this process of changing the asset status to Available can be done in
a normal scenario if employee has returned the asset but has not submitted the
Asset return request.
