1. When someone resigns
2. If there is a change in job profile which necessitates a role change, for
example employee getting transferred out of HR department
For an employee whose separation has been approved in the system; on the midnight of the last working day all the roles, pending activities associated with these roles and reportees are transferred to the Manager. If manager is not mapped then the roles, pending tasks and reportees will be mapped to Application Administrator. If the separation is withdrawn subsequently the roles will have to be assigned back manually.
If the role is transferred before the last working day then all the pending activities related to the role are transferred from the original role holder to the new employee who has got the role.
Separation of employees involved in clearance process
If an employee who himself has the HR Manager role, submits the resignation it
needs to be approved by his manager. After this it will not come back to the
employee for the HR Manager approval. The separation will show “Not defined”
till the HR Manager role is given to another employee. If last working day is
in past than HR Manager’s role will be transferred automatically to the Manager,
if Manager is not defined then the role is transferred to Application Administrator.
Same logic applies for other clearance approval roles also. Basically the process
does not allow an employee to do his own separation clearance.
