Setting up Birthday and Anniversary greetings

EazeWork HRMS provides the option to send greetings as emails, dashboard alerts to employees on their birthday and wedding and work anniversaries. There also is an option to send emails and show the notification of birthday and anniversary on a dashboard widget to other employees from where they can wish their colleagues.

The feature to show a greeting through a popup when employee logs on browser or on mobile on his birthday or anniversary - this feature is always enabled by default and cannot be deactivated.

Additional options are outlined below -


1. Greeting Type - through this drop-down you can configure the three types of greetings - Birthday / Marriage Anniversary / Work Anniversary. The setup for each of these is separate but is similar in design

2. Show birthday widget to employees - once this is enabled employees will be able to see a widget on their dashboard which will show photos of their colleagues whose birthday / anniversary is on that day. Employees however can deactivate this option totally or limit the list of employees by selecting or deselecting the parameters in Preferences > Alerts tab. Refer article for more details.

3. Allow wishes by colleagues - through this parameter you can give the option to employees to wish their colleagues on their birthday. Wishes given by an employee will be visible to all others on the day of the birthday / anniversary. 

4. Sending birthday greeting in email : to enable this feature you will need to select the parameter "Send birthday email to employee on behalf of company" as shown above.

5. Image bank : there are a set of images uploaded which are selected at random and sent to the employee, you can add your images to the image bank using the "Upload Image" button.

6. Customizing greeting : A default subject and text with the image is there in the software, you can modify the text as per your requirement. Use the "Select Fields" options to insert variables in the message. Use the "Preview" button to view the greeting.


Adding Additional Emails as Recipients

As shown below, system provides the option for sending the alerts in cc to selected persons / roles.

Steps to be followed are -
1. If you want to send these emails to any external email IDs then add them in the table given below and click on Submit at the bottom of the page
2. Select the roles or email ids added above in the first table you would like to send in CC and BCC

Notes
In the Emailing list, if you select "All" then the email will go to all the active employees in the system and if you have a multiple company setup then you can also select "Company Employees" in which case the greetings will go only to the employees who are in the same company as the person who is getting the greeting.
