In EazeWork HRMS the activity of managing employee's shift schedules (also known as
rosters) for organizations can also be managed. Apart from HR team, the employee
roster/shift management can be performed by the Manager or Application Administrator
depending upon the setup chosen in the system.
1. Shift updation
To update shifts, follow the steps given below
1. Click on the Quick Access link as mentioned above you will be navigated to Shift Mapping screen.
2. from this page you can update the shift for a future date directly in the table
or use the bulk upload method
- Select Shift Name and From Period in Future Shift columns (Only future shift
date can be entered in From Period column)
- On submission the new shift will be stored and will be automatically updated,
immediately employee will get an alert informing him of the shift changes
- For updating shifts in bulk see point 3 below
2. Shift updation from back date
You
can also edit the shift mapped to an employee from a past date. Steps to be
followed are
1. Click on the "Edit" button as shown in the image above. The following popup
opens up to fill in the details and submit.
2. Click on "Process Shift Correction" button
3. Select the new shift name in Shift drop-down
4. Select the From Date - date from which this shift is to be mapped
5. Select the To Date - this is optional and if you do not select a To Date this
shift will be mapped without an end date in future
6. Click on Submit
Note :
1. On the date for which the shift is being updated
a) If attendance method is Auto or Manual Upload then on shift updation In /
Out will be updated as per the new shift's Start / End times
b) If attendance method is Biometric, Web, Mobile or any combination of these
three methods then the In / Out times will be remapped based on the original
punch data. Original punch data data can be seen in "Attendance Log" report
2. For Biometric / Access card method if the feature to capture breaks is enabled then shift cannot be updated from past date.
3. Changes in shift from a back date can be done only up to the period defined in setup, refer to the article on
Managing shifts for more details. If past entry period is blank, then shifts can be updated from any date in past.
The process of mapping time stamps to a shift is explained with an example below.
Example -
Shift A - Start Time : 09:30
Shift A - End Time : 17:00
Shift B - Start Time : 04:00
Shift A - End Time : 11:00
Time stamps received from attendance system : 06:30 (1/Apr), 11:45(1/Apr), 14:15(1/Apr),
18:10(1/Apr), 20:30(1/Apr), 22:10(1/Apr), 00:35(2/Apr)
If Shift A is mapped then system will interpret this data as -
Attendance for 1/April - In Date : 1/Apr, In Time - 06:30, Out Date : 2/Apr, Out Time - 00:35
For Shift B the post shift hours will end at 19:30 - refer article on Linking attendance data and shift time for more details. So if we change shift B from 01-Apr then the time stamps received after 19:30 (1/Apr) will be considered for attendance of 2/Apr. So if we assume his time stamps are same as what is shown above, the data would be interpreted as
Attendance for 1/Apr - In Date : 1/Apr, In Time - 06:30, Out Date : 1/Apr, Out Time - 18:10
Attendance for 2/Apr In Date - 2/Apr, In Time - 20:30
3. Shift updation in bulk
For
updating shifts for multiple employees through excel use the "Bulk Upload" button.
In the downloaded excel provide the following details
1. Employee Name - optional
2. Employee Code
3. Shift Name
4. From Date – New shift date
Through excel you can upload multiple shift changes for one employee by updating
data in multiple rows. System will automatically update the To Date as From Date
- 1 of the next change. You can upload multiple shift through excel only from
future date.
4. Shift updation by HR Manager
Menu Path: Quick Access > HR Manager > Shift Management
Accessible to: HR Manager
HR Managers can also update shift for their employees in bulk through HR
Manager > Shift Management. Process would be same as what is available for Managers.
Note - there are some rules which are to be kept in mind while updating shifts
1. An employee cannot be mapped to two shifts in one day - e.g. he cannot be on
8 am to 2 pm shift and then on 4 pm to 10 pm shift on the same day
2. Whenever the shift is being changed the end time of earlier shift cannot overlap
with the start time of the new shift. This scenario sometimes comes when we are
changing shifts from night to morning shift
System will ensure that when shifts are updated the above mentioned rules are
followed.
