Releasing and managing flexible benefits

Payroll manager can control the release of process for Flexible benefits declaration which would allow the employees to make changes to their salary structure. Steps to be followed are -

1. Go to Menu : Quick Access > Flexible Benefits

2. Click on the button "Open Flexi Benefits Declaration"

3. Enter the End Date for closing of declaration window and if you want to exclude some employees from the process then select them and click on "Release Declaration" button.


The list of employees is shown in two tables. Employees where Flexi attribute is already active on one or more heads in the salary structure is shown in the first table. Employees where there is no head with flexi attribute in salary but the mapped salary template has some heads which are not in the salary and have flexi attribute will come in the second table. Both the set of employees can add heads which are not currently in their salary structure but are there in the mapped salary template and have "Flexi" attribute enabled.

4. When the process is released the status will change to "Pending" and as the submissions are done the status will change to "Submitted".


5. You cannot reject submitted requests but you can edit and change the amounts. You can Cancel a record in any status Pending / Submitted or Approved

6. You can also do a bulk approval or bulk cancellation by selecting the records and using the bulk approval buttons on top of the table

7. After the window is closed employee cannot make flexi changes by you can do it on his/her behalf till payroll is not run

To send a reminder for submitting Flexi declarations click on "Send Reminder" button on Release History tab. Reminder will be sent only to pending employees.

Note -
1. The payroll or full and final process cannot run in parallel with the flexible benefit declaration process so if an employee's flexible declaration is in Pending status it would be automatically cancelled when we run payroll - no alert is sent for this cancellation to employee but a warning is shown to the payroll manager when processing payroll
2. Similarly if the declaration is in Submitted status the system will stop Payroll Manager from running the payroll or processing the full and final and will prompt him to approve the declaration
3. Both salary changes and flexible benefits are confirmed in the system through a payroll run, hence if an flexible benefit declaration is approved then till payroll is not run further salary modifications are not allowed, if they have to be done then approved flexible benefit should be deleted. Similarly if a salary modification has been done but payroll has not been run and after it we release the flexi declaration process and employee updates his record then the revised salary structure cannot be deleted by the Payroll Manager like it is available in normal scenario since it has been used in the flexi declaration.
