Understanding Attendance metrics

EazeWork HRMS helps you measure shortfall in hours worked, late coming, early leaving and other important attendance measures. In this article we will explain how these metrics are calculated. The basis for all calculations is the attendance punches, break data and shift timings. 

Calculation based on Effective Times

Effective Start Time (EST) and Effective End Time (EET)  are calculated on days when employee is partially present. Since employee is not present for the full day and if there is a leave in the beginning or end of day the start time and end time are appropriately modified. When attendance is updated by the HR team or Manager from Pending Attendance tab or Missing Out-Time tab then the In Time and Out
- if employee is full day absent they are updated from default  shift timings
- if employee is partial day absent then they are updated from the Effective Start Time and Effective End Time.

Metrics are calculated as shown below - 

  1. if first half Leave / WFH then EST = SST + (SET-SST)/2
  2. if second half Leave / WFH then EET = SET - (SET-SST)/2
  3. if shift beginning 0.75 Leave / WFH then EST = SST + 3(SET-SST)/4
  4. if shift ending 0.75 Leave / WFH  then EET = SET - (SET-SST)/4
  5. if 1st Quarter Leave / WFH  then EST = SST + (SET-SST)/4
  6. if 4th Quarter Leave / WFH  then EET = SET - (SET-SST)/4
- Effective Total Hours = EET - EST
- Hours Worked = Out Time - In Time
- Actual Hours Worked = Hours Worked - Breaks Interval
- Shift Hours Worked = The portion of working hours which are within the shift hours
- Actual Shift Hours Worked = Shift Hours Worked - Breaks falling within the shift hours
- Effective Shortfall = Effective Total Hours - Actual Hours Worked
- Effective Early Coming = Effective Start Time - In Time (if In Time is less than Effective Start Time)
- Effective Late Coming = In Time - Effective Start Time (if In Time is greater than Effective Start Time)
- Effective Early Leaving = Effective End Time - Out Time (if Out Time is less than Effective End Time)

Calculation based on Standard Times

Attendance metrics based on Standard Shift hours are calculated as per the following formulae.

1. Shift Hours = Shift End Time - Shift Start Time
2. Actual Shift Hours = Shift Start Time - Shift End Time - Planned Breaks (as per shift setup)
3. Hours Worked = Out time - In time
4. Actual Hours Worked = Out time - In time - Actual Breaks
5. Shortfall Hours = Actual Shift Hours - Actual Hours Worked
6. Extra Hours = Actual Hours Worked - Actual Shift Hours
7. Official Hours = Hours worked in office + Hours worked on Tour + Hours Worked From Home, this metric can be setup based on the company's requirement in setup
8. Days Worked = Days Present in office + Days on Tour + Days Working From Home, this metric can be setup based on the company's requirement in setup

Metrics show in this section are mostly used in Hours Worked Report.
