Approval of separation request

Menu Path: HRMS > Separation
Accessible to: Approvers as per setup

A separation request can have one or more than one approvers. If you are an approver and have received an email or dashboard alert you will need to do the following steps
1. Use the menu path HRMS > Separations > Separation Processing For Team tab
2. Select the role which you want to use from the role drop-down

You will see three tabs on this page.
1. Approvals - this tab shows all the separation requests pending for approval. CEO can see all requests which have been submitted for employees mapped to their company
2. Clearances - this tab shows all the separation requests which are pending for clearances. Refer article on Providing Clearances during Separation for more details
3. Withdrawals - this tab shows pending withdrawal requests. Refer article on Separation Withdrawal

Separation Approval


- on the Approvals tab filter on "Submitted" status to view all requests which are pending for your approval
- click on "Review" button the form shown below will open.


You will need to fill up the following details -
- Approved Last Working Day: this is very important entry as the notice period shortfall is calculated and the system will automatically terminate the access for the employee on the midnight of last working day. By default system will suggest a last working day which on completion of notice period. In some cases you might not get an option to change the last working day, this would be due to the company policy
- Rehire eligibility: this is stored for future reference so that when the employee applies again a decision can be made if he has to be hired or not, this is not visible to the employee
- Type of Loss: another field to capture the nature of loss from company’s perspective, this is not visible to the employee
- Notice Period Shortfall: this is automatically calculated based on the date of submission of resignation, notice period and the last working day. If notice period feature has not been enabled then this will not come. If enabled it will come only Resignations, it will not come for Management Initiated Separation, Death or Retirement
- Notice Recovery: you have the option to recommend the shortfall in notice period which should be recovered. Full and final process will handle the notice period shortfall accordingly.

When separation is approved any Leave, Work From Home, Tour request, OD request in Submitted or Approved status after the last working day will be automatically withdrawn. On the request in the Remarks section the remarks "Request withdrawn due to separation approval" will be added.


Once the separation is approved then it is sent for subsequent clearances as defined in setup. System will send an alert to all the clearance providers as defined in setup.

Notice Period Shortfall Calculations

Notice period shortfall is calculated for only Resignation and Death processes. The way system calculates notice period shortfall is different for both the requests. 
Idea
For Resignation - 
Resignation Submission Date : 11-Jun
Notice Period : 30 days
Default Last Working Day : 10-Jul (this will be the last working day recommended by system)                                                                      
Revised Last Working Day : 30-Jun (approver or HR can change the last working day)
Notice Period Shortfall = 10 days
Idea
For Death -
Notice Period Shortfall = Min(Notice Period, (Date of Death - Approved LWD)).                                                                                             
Date of Death = 11-Jun
Approved Last Working Day = 1-Jun
Notice Period = 30 days
Notice Period Shortfall = Min (30, (11-1)) = 10

Notes
Note -
1. Separation request in submitted status is not visible to anyone except the approver and HR, once it is approved then it can be viewed by all clearance approves
2. The comments captured during this approval are visible to the employee, the checklist, rehire eligibility and type of loss are not visible to the employee
3. If leaves are approved for a date which is after the last working day then separation cannot be approved till those leaves are withdrawn, if there are leaves in submitted status they will be automatically withdrawn

Editing an Approved request

As an approver you can change the following details even after the request has been approved by you
1. Last working day - if allowed by company policy
2. Resignation submission date - if allowed by company policy
3. Type of loss / Notice period recovery - can be changed
The edit option is available till the Full and Final is not processed, if Full and Final is in process or completed then you cannot make any changes. If payroll feature is not in use then edit is available till HR does not close the separation request.
