A separation request can have one or more than one approvers. If you are an approver and have received an email or dashboard alert you
will need to do the following steps
1. Use the menu path HRMS > Separations > Separation Processing
For Team tab
2. Select the role which you want to use from the role drop-down
You will see three tabs on this page.
1. Approvals - this tab shows all the separation requests pending for approval. CEO can see all requests which have been submitted for employees mapped to their company
2. Clearances - this tab shows all the separation requests which are pending for clearances. Refer article on Providing Clearances during Separation for more details
3. Withdrawals - this tab shows pending withdrawal requests. Refer article on Separation Withdrawal
- on the Approvals tab filter on "Submitted" status to view all requests which are pending for your approval
- click on "Review" button the form shown
below will open.
You will need to fill up the following details -
- Approved Last Working Day: this is very important entry as the notice period
shortfall is calculated and the system will automatically terminate the access
for the employee on the midnight of last working day. By default system will
suggest a last working day which on completion of notice period. In some cases
you might not get an option to change the last working day, this would be due
to the company policy
- Rehire eligibility: this is stored for future reference so that when the employee
applies again a decision can be made if he has to be hired or not, this is not
visible to the employee
- Type of Loss: another field to capture the nature of loss from company’s perspective,
this is not visible to the employee
- Notice Period Shortfall: this is automatically calculated based on the date
of submission of resignation, notice period and the last working day. If notice
period feature has not been enabled then this will not come. If enabled it will
come only Resignations, it will not come for Management Initiated Separation,
Death or Retirement
- Notice Recovery: you have the option to recommend the shortfall in notice period
which should be recovered. Full and final process will handle the notice period
shortfall accordingly.
