Creating a new leave type

The steps to be followed to create a new leave type should be followed carefully after going through this article. If a leave type is created wrong then it cannot be corrected.

A brief explanation of various fields required to be filled up while creating a leave is given below -


Leave Type - This is the leave name visible to all across the application. For a single company setup the Leave Type has to be unique but for a multiple company setup the same Leave Type can be used for multiple leaves, using this feature you can create the same leave with different policies in different companies.

Effective Date - This is the date from which the Leave Type is available to all the users who are eligible for this leave type. Effective date cannot be earlier then calendar start date and can only be from the beginning of the month

Leave Basis - please select the appropriate leave basis, refer Leave Design Concepts article for more details.

Leave Value - This is the numerical value of the leave which is accrued each time whenever the accrual event happens. There is an option to define the leave value through a formula, refer Leave Design Concepts article for more details.


Category - Leaves can be of two categories - Leave / Restricted. Leave is the normal category and if we select category as Restricted then it would be used to take Restricted holidays

Accrual Method - This defines the point of time when leave is credited to the employee's leave account. Refer to the article on Leave Design Concepts for more details
Accrual to be done from - Select the appropriate option. Refer article on Leave Design Concepts for more details

Short Code - is a two digit alphanumeric code used in EazeHR for leave updation or report generation. Short code has to be unique for a leave

Holiday Counted - If a holiday falls in between a leave period it will be counted as a leave only if this option is checked. If the box is unchecked then any holiday falling in the leave period will not be counted as a leave

Weekly Off counted - If a weekly off falls in between a leave period it will be counted as a leave only if this option is checked. If the box is unchecked then any weekly off falling in the leave period will not be counted as a leave

Allow partial day leave before / after weekly off / holiday - through this parameter you can control if employees can submit partial day leaves even if they are not allowed to submit full day leaves without including weekly off or holidays.

Carried Forward - If this is selected then leaves remaining at the end of year are carried forward to the next year. Refer to the article on Carry forward logic for more details
  1. CF Min Limit-This specifies the minimum limit to which leaves can be carried forward. This limit comes into picture only during the encashment process
  2. CF Max Limit-This specifies the maximum limit to which leaves can be carried forward. If there are accrued leaves beyond this limit the amount above the max limit would lapse


Partial days - sometimes leave is allowed for a partial day also, this is enabled through this parameter
  1. Qtr Day Allowed - If this box is checked then a quarter day leave can be taken else not
  2. Half Day Allowed - If this box is checked then the leave can be taken as a half day leave also else not
  3. 0.75 Day Allowed - If this box is checked then a 0.75 day leave can be taken else not

Note : If a partial day leave is taken the remaining part of the day also needs to have a status which can be Half day present, 0.75 day absent, these are called composite status

Future Entry Period - The period in future for which an employee can put in a leave request is determined by this value and also the period of active calendar. If today is 15-Dec and future entry period is given as 30 days but the calendar for next year is not yet created then leaves can be submitted for only upto 31-Dec

Past Entry Period - Leave requests and Leave withdrawal requests can be put into the system within this period for past entry. So if today is 15-Dec and past entry period is 30 days then leave upto 15-Nov can be entered but not before that, year end boundary is not applicable in this case

Minimum no of days allowed per leave request - Through this the minimum duration of leave which can be taken in one instance is controlled. Employee will not be able to request for a leave for duration less than the value given here, if left blank then any number of days is allowed. If partial days is selected from above then minimum duration is preselected and cannot be changed

Maximum no of days allowed per leave request - Through this the maximum duration of leave which can be taken in one application is controlled. Employee will not be able to request for a leave for duration more than the value given here, if left blank then any number of days is allowed

Leaves to be limited to - Through this the maximum number of days in a month a leave can be taken is controlled.  This parameter will not be there for system defined leaves and restricted holiday leaves. Employee will not be able to request for a leave for duration more than the value given here.


Maximum number of incidents - This is applicable only for "Per Incidence" leaves only and it controls the number of times per incidence leave can be applied during the complete duration of employee's employment. If this is not filled up then any number of incidents would be allowed

Allow to apply leave during notice period - If this is selected as Yes then employee cannot take this leave when he is serving notice period.

Reduce accrual linked to approved LWP - if this parameter is selected as Yes then accrual will be reduced for all approved LWP proportionately but this parameter is only available for Leave basis - Monthly and Accrual method - End of Month or Beginning of Month. Only approved LWP for the previous months will be considered, any LWP for an earlier months added and approved in the current month will not be consider for the reduction. Reduction will be done in the month beginning or month ending batch job. If the LWP which was considered is withdrawn then the accrual value will be added back in the next cycle

Leave gifting - if this feature is activated then employees can gift their leaves to their colleagues - refer article on Advanced scenarios

Attachment Compulsory - If this is selected as Yes then employee has to attach a supporting document when he is submitting a leave request, system will not allow him to submit the request based on the value in the next "Minimum Leave Duration" parameter


No accrual on these statuses - this parameter is available only for leaves where accrual method = prorate. It reduces the accrual value for the days on which employee is on the selected leaves and status like Weekly Off / Compulsory Holiday / Absent. For example as shown in the image above since Casual Leave and LWP is selected then the leave will not be accrued for the day employee is on Casual Leave or LWP

Clubbing not allowed with these leaves - Activation of this parameter will prevent employee from taking this leave if selected leaves has been taken in preceding or succeeding periods. Even if the leave request is in submitted status and even if the leave duration is partial day, this parameter will be applicable. For example as shown in the image above the employee will not be allowed to submit a leave which is next to a Compensatory Off

Leave Encashment and Notice period adjustment - If selected as yes then this leave is available for encashment when encashment process is released by the HR Manager. Refer to article on Leave encashment for more details. If notice period is to be recovered then this leave will be available for recovery only if this parameter is selected as yes. If this parameter is not visible then encashment feature has not been activated for your company, please get in touch with your Account Manager if you want this to be activated


Partial accrual in the joining month - This parameter is available only for those leaves which leave basis is "Per Month" and accrual method is "Beginning of Month/End of Month". If selected as Yes then you can define from and to day and leave value. If you select 1 to 15 =0.5 and 16 to 31=1 as shown above, employees whose DOJ is before 16th would get 1 accrual and whose DOJ after 15th accrual would be 0.5 for the first month. For remaining months accrual will depend on leave value

Partial accrual in last month - This parameter is available only for those leaves which leave basis is "Per Month" and accrual method is "Beginning of Month/End of Month". If selected as Yes then you can define from and to day and leave value. If you select 1 to 15 = 0.5 and 16 to 31=1, employees whose LWD before 16th accrual would be 0.5 and whose LWD after 15th accrual would be 1 for the last month. No accrual would be after the last working day

Leave Description - Long description of leave, this is shown on the top of the page when employee is applying for the leave, if this feature is not visible you can request your Account Manager for activation

Eligibility Criteria - By default the criteria is All and it can be changed to design who all will be eligible for this leave. Refer to article on Managing leave eligibility criteria" for more details
