1. Creating New Job Openings
A job opening is the basis for any new hiring, it can be created by employees
who have a Hiring Manager role.
Steps to be followed -
1. Click on the "New Job Opening" link as shown in the image above
2. Decide if you want to create a new opening or you want to use an old opening
and modify it
3. The form which needs to be filled up while creating a job opening has multiple
fields and some are compulsory
Job Details
- Job Title : Give an appropriate title as this will be visible to all who will
be submitting profiles
- Opening Type : There are three types of openings -
a) Backfill - this option will allow you to hire against an attrition, the names
of employees who are serving notice period or have left can be mapped
b) New Hire - this allows you to request a new hire
c) Transfer - this allows you to map an employee who has been transferred out
of your department / division / company against the job opening. Refer to the article on Mapping Department Transfers to Job Openings for more details. - Employee Attributes - you will need to provide details of Seniority Level /
Department / Division / Employee Type - refer to the article on Employee level attributes to gain more understanding of these fields
- Target fill date : this is the date by which you want the hiring to be completed
- Job Description : provide a detailed job description, details provided here
are visible to applicants / consultants / employees when they are submitting
profiles
- Minimum Criteria : specific conditions can be highlighted here
- Salary Range : Select the currency and the range of salary, these are indicative
figures
- Locations : if the job opening has multiple vacancies you can create these
and map these to the locations where the candidates need to be hired
- Remarks : You can input any remarks which you want to be communicated the Recruitment
team to read and you can also upload any document
Once you have filled up all the details you can "Submit" the job opening or
you can use "Save as Draft"
Profile Details
You can also fill up additional fields in the second tab "Profile details" as
shown below. The profile details are used to filter candidates from the database.
Note :
1. On submission of the job opening an alert will go to the Recruitment Manager
(or the approver as per Setup) for approving this opening.
2. Once Job opening has been submitted, it cannot be withdrawn by Hiring Manager
3. Target fill date is the date by which you expect the employee to join against
the opening
4. Opening Type and Employee Type cannot be changed after the job opening is
released
Using Backfill option
Backfill
option is when you are hiring against an employee who has left the company or
has resigned and is in the process of leaving. If there are multiple vacancies
being filled up through "Backfill" option then an equal number of employees need
to be mapped in the form.
1. Click on "Map Employees" as shown below
2. Map the employees you want to hire against. Only employees who's separation
has been approved and have not been mapped as back-fill in some other opening
will come in this list.
One employee can be mapped to only on job opening. Employees cannot be mapped
across companies (applicable only when multiple companies are activated).
2. Withdrawing Job openings
Menu Path: Recruitment > Openings
Accessible to: Hiring Managers
Hiring Manger can withdraw job openings on submitted status. Click on "Withdraw" button.
3. Reviewing Job openings
Hiring Managers can review the status of all their active job openings either
through Reports > Recruitment Reports > Job Opening Status or through the
Opening page. Where they can see details of released openings.
Hiring Managers can also review the status of hiring activity on released job
openings from the Recruitment dashboard.
