Application Administrator, Project Managers or Resource Managers can manage the
employee assignment to projects. While Project Managers can assign employees
to only those projects where they are the Project Manager the Application Administrator
or Resource Manager can assign them to any active project. Activities which can
be done on this tab are -
1. Assigning employees to project - this can be done either in bulk through excel
upload or through a table
2. Removing employees from project
3. Maintaining data of Planned Loading %, Planned Hours, Billable / Non Billable
flag, Rate for employees on a project
4. Maintaining cost and billing rates
An employee can be assigned to a project multiple times. For example he might
work on a project from 1-Jan to 15-Feb and then again from 1-Mar. These tenures
are recorded as separate assignments on the project and each will have separate
Planned Loading %, Planned Hours, Billable / Non Billable flag, Rate details.
1. Assigning employees to a project
Employees
can be assigned to a project either through a bulk mapping process or manually
from the table. To map employees to a project select the name of project as shown
below. You will see a list of all active employees in the company.
1. Select and add employees to the project. Fields which are to be filled up
are -
- From Date – this is filled up by default by the earliest possible date from
when the employee can be mapped to the project (Maximum of Date of joining and
Project Start date and Previous Assignment End Date+1). You can select this as
per your requirement
- To Date – optional input, used to indicate the duration for which employee
is being assigned, can be updated at any point of time
- Planned Loading % – optional input, you can enter the loading being planned
for the employee in terms of percentage of total time
- Planned Hours - optional input, you can enter the total hours which are planned
for an employee on the project for this assignment
- Non-Billable - select this flag if the employee is not billable on this project
2. Click on "Add to Project" button on the last columns or select multiple employees
and click on "Add to Project" button on top of the table to add employees to
a project. Employees will receive an alert when they are added to the project
3. You can check the current assignment of the employee across all projects by
clicking on the hyperlink on the Employee Name. A popup as shown below will open
up
2. Assignment from backdate
When
a set of employees is assigned to a project and this information is submitted
the following activities happen in the background in case of Weekly Timesheet
option -
- Pending timesheets are created from the week which corresponds to “From Date”
till one week before the current week if the “To Date” is in future, or is empty
- Pending timesheets are created from the week which corresponds to “From Date”
till the week corresponding to “To Date” if the “To Date” is in past
Note – If employee is assigned to some other projects in past then anyway pending
timesheets for that period would have been created or timesheets would have been
submitted and there will be no change to those submitted / approved timesheets.
If time has to be booked on approved timesheets for projects which have been
mapped to an employee later then only Project Manager of the project can update
(this is linked to Timesheet parameter "Allow updation of approved timesheet", refer article on
Timesheet Setup for more details.
3. Updating details of a mapped employee
Once
an employee has been assigned to a project you can do the following from the
Assigned Employee table –
- Update To Date – If employee has be unassigned from the project enter the “To
Date”, refer below
- Modify To Date - use the Edit button to change the To Date if required
- Modify Planned Loading % or Planned Hours - if for some reason the loading
of employee has to be changed it can be done by using "Update Loading" action
button and for each change a corresponding from / to date has to be provided
- Deletion from project- if employee is to be removed completely from the project
(the assignment is to be deleted) then click on the Delete button, this action
can be performed only if there are not submitted or approved timesheets
When employees are unassigned the following activities are done in the back end
-
- Pending timesheets for the period for which the employee was earlier assigned
but has now been unassigned will be removed
- Alerts are sent the employees informing them of their roll off
- Alert is sent to the Project Manager informing of the roll off
Note - You cannot remove to employee from a Default project. Refer article on Managing Projects for more details.
4. Past Assignments
On this table you can review all past assignments where employees have rolled
off from a project. You can update the Planned Loading %, Planned Hours and Non-Billable
flag and also correct the assignment date. If you want to reverse the roll-off you can use the Delete button, this
will delete the To Data and assign the employee back to the project.
5. Resource Costs and Rates
Costs and rates for all employees who have been mapped to the project can be
updated through the table as shown below.
The currency for costs and rates is picked up from the currency mapped to project.
