Roles in EazeWork

EazeWork HRMS is a work-flow based application and an understanding of the various roles and their function is necessary before the application can be fully used. There are three types of roles – Unique roles, Parallel roles and Multiple roles. These roles have different attributes.
  1. Unique role can be given to only one employee at a point of time
  2. Parallel role can be given to multiple employees at any point of time and there is no need to map a domain for these roles. Roles like Managers, Recruiters, Project Managers which can be held in parallel by many users
  3. Multiple roles – some role is shared between multiple employees – like HR Manager, Accountant, IT Manager, Office Manager. The basis on which these roles are to be shared needs to be defined and is explained in the article on Role Mapping.

1. Generic Roles

User Role
This is the role given by default to all the subscribers of the application including the Application Administrator. Unless you are a User you cannot log into the system. All other roles are in addition to User role. As an EazeWork user you can update your records, request for a leave, submit an expense reimbursement, submit a resignation, view reports and do other tasks.

Account Manager
This is an internal role within EazeWork, the Account Manager can view your license summary, rates, billing details, invoices and can activate some advanced feature. He cannot see any master or transactional data. This is a unique role.

Application Administrator
Application Administrator is the most important role and is activated by default. He is responsible for various tasks like – managing the Application setup, adding / deleting Users, managing roles and access of Users and interacting with the Account Manager for maintenance and other tasks. It is a unique role i.e. only one User can be Application Administrator at any point of time.

CEO
This role should be given to the head of the company, the role is activated by default. Person having the CEO role is able to view data for his company through reports. This is a unique role in a single company setup but in a multiple company setup there can be a different CEO for each company. In a single company setup the CEO cannot have any Manager in the system but in case of multiple companies a Manager can be assigned.

Department Head
Each Department in the company can have a Department Head. Department Heads can be included in approval work flows as needed. This role is activated automatically when Department feature is activated. This is a parallel role.

Division Head
This role is activated automatically when Division feature is activated. Similar to Department Head this role can be used in workflows and can view reports for his Division. This is a parallel role. 

Field Role
This role is used only for Field Force Management module. Employees with field role can use the visit management, customer creation features in FFM module.

Functional Manager
There is an option available to allow for dual reporting, the second manager to whom an employee can be mapped is called Functional Manager. This role can be activated from HRIS setup. Similar to the Manager role above this is a parallel role and is used in work flows for approvals.

Manager
Those users who have been assigned the responsibility of managing one or more employees are automatically given the Manager role. Each employee can have only one Manager but a Manager can have more than one employee assigned to him. Managers are responsible for approvals of Leave, Expenses and also create request on behalf of the Employees for Transfers and Assets. Most of the processes in the application are managed between User and Manager. This is a parallel role.

Managing Director
This role is available only in case of multiple company setup. This role has access to all the reports and can also be involved in approval work flows if needed. This is a unique role.

Report Reviewer
This role allows the employee to access all reports which have been activated and also see all the data in the reports. This is a parallel role.

Travel Desk
This role is activated when Travel Desk feature is activated within Tour process. This role can be assigned to an employee from Manage Account page. This is a unique role.

Sales Manager
This role is used for creation of new locations, creation of new employees (hiring request) through the mobile app. This is a multiple role.

Security
Security persons are responsible for updating the status of assets which are moving in or out of the office based on approved gate passes. This role is only used in Gate Pass process within IT & Admin module. This is unique role and can be activated by the Account Manager.

2. HR, Accounts & Payroll Roles

Account Head
This role is designed for expense approvals but can be used in all workflows. This is a multiple role.

Accountant
Accountant role is given to the persons who are responsible for the final validation of Expenses and disbursal of payments. This role is automatically activated when Helpdesk, Advance & Expense module or Claims feature in Payroll is activated. This is a multiple role.

Chief of HR (CHR)
CHR role is an optional role; this role can be used for second level approvals above the HR Manager. By default CHR can view and update all employee records. This is a unique role. 

Chief Financial Officer (CFO)
If multiple companies are activated then CFO role is also available and can be used in approval workflows. Visibility of reports is associated with reports linked to Account Head role. This is a unique role.

HR Executive
This is an optional role. The role is designed to take over some responsibilities of HR Manager. The HR Executive can be made as an approver for some processes in the setup. By default HR Executive would be able to update the details of all the employees mapped to him. This is a multiple role. Refer to the article on HR Executive for more details.

HR Manager
HR Manager's role is the most important role; this role has the access to all reports in HR modules and is also responsible for most of the approvals by default. This role is activated by default. This is a multiple role.

Payroll Manager
Payroll Manager’s role is given to the person responsible for running the payroll. He is responsible for collecting all inputs like Leave deductions, Monthly reimbursements, Employee exclusion list and is then able to run the payroll, confirm the output and distribute the salary slips. This role is automatically activated with Payroll Module is activated. This is a unique role.

Payroll Executive
Some activities within Payroll module can be assigned to Payroll Executive. This is a multiple role but mapping can be done only on the basis of company.

Performance Manager
Performance managers are responsible for managing the end to end performance management process. This role is automatically activated with Performance Module is activated. This is a multiple role. 

Training Manager
Training managers are responsible for managing the Training module. There can be multiple training managers and can be mapped by Location or Company. This role is automatically activated when Training module is activated. This is a multiple role. 

3. IT & Office Manager Roles

Chief Administrative Officer (CAO)
If multiple companies are activated then CAO role is also available and can be used in approval workflows. Visibility of reports is associated with reports linked to Office Manager role. This role is a unique role. 

Chief Technology Officer (CTO)
If multiple companies are activated then CTO role is also available and can be used in approval workflows. Visibility of reports is associated with reports linked to IT Manager role. This role is a unique role.

IT Manager
IT Manager is responsible for managing company's IT assets and ensuring that Employees who are leaving the company are completing the administrative formalities. This is a multiple role.

Office Manager
Office Manager is responsible for managing company's office assets and ensuring that employees who are leaving the company are completing the administrative formalities. This role is automatically activated when Admin & Asset module is activated. This is a multiple role.

4. Recruitment roles

All these roles are automatically activated when Recruitment module is activated.

Hiring Manager
This role is given to employees who are responsible for creating a job opening. This is treated like a hiring request. This is a parallel role.

Recruitment Manager
This role is given to the employee who heads the recruitment function and is responsible for overseeing the work done by all recruiters. Primary responsibility is releasing of job opening and ensuring that the Recruiters are mapped properly. This is a unique role.

Recruiter
This is the key role in Recruitment module and is responsible for completing the hiring process from sourcing of resumes, scheduling interviews, getting offer letter processes. This is a parallel roles. This role is linked to Recruiter license and a Recruitment Manager also has a Recruiter role by default.

Reviewer / Screener / Interviewer
These are roles linked to the recruitment process and can be given to any employee who has to perform these roles. These are parallel roles.

Agency
This is an optional role and can be activated by Account Manager on request. This role is linked to the Placement Agency which can provide resumes during recruitment process. This is a parallel role.

5. Project and Timesheet roles

Project Manager
Any user can be made a Project Manager. This role needs to be assigned by Application Administrator and only those employees who have this role can be assigned as the Project Manager of a project or can create projects on his own. This is a parallel role.

Resource Manager
A Resource Manager is responsible for managing the status of employees with respect to their deployment on projects and also to ensure that right employees are mapped to right projects. This role needs to be assigned by Application Administrator and only those employees who have this role can manage employee status in Timesheet module. This is a parallel role.

6. Mapping and Removal of Roles

Most of the roles are mapped by the Administrator from Manage Account page except Manager, Functional Manager, Department Head and Division Heads. These roles are not assigned by the Application Administrator but are automatically added to Users when they are mapped as Managers, Functional Managers, Department Heads and Division Heads in the system. When the mapping as Manager, Functional Manager, Department Head, Division Head is removed then these roles are automatically removed.

Roles which are assigned by Application Administrator can be removed by Application Administrator if there are no active mappings - employees, project, job openings. Project Manager role is automatically removed is the employee is not mapped to any project as a project manager.
