Candidate record creation

Candidate records can be created in multiple ways.

Automatic record creation

Recruiters receive candidate profiles from multiple sources, some as shown below are external to the company and some are internal. Recruiters receive all these profiles directly on the Candidate page.
1. Referrals by employees
2. Placement agency submission
3. Receipt of profile from Company Careers page
4. Receiving profiles from direct email

Profiles received from any source mentioned above are given a number, this number starts with a R, for example R0015. When these profiles are shortlisted or moved to Candidate database then they are given a new number which starts with a C.

Accessible to : Recruitment Manager, Recruiters

Profiles received from these sources can be viewed by Recruiters in the tab as shown below.

There are two different tables, in the first table profiles received from
a) Employee Referrals
b) Placement Agencies
c) Company Career page
are listed. Since these profiles are against a specific job opening these are visible only to the Recruiter mapped to the opening and to the Recruitment Manager.

In the second table profiles received on the email are listed. The profiles are not against any specific job opening and are visible to all Recruiters ad Recruitment Managers.


Each of these profiles can be
a) Shortlisted against the opening - click on Shortlist button. For profiles received from job boards, direct email the job opening is not mapped so the job opening against which the profile is to be shortlisted is to be selected


b) Added to the database for future use - click on "Add to database" button. When a profile received against an opening is Added to database it is not shortlisted against the opening and an alert informing the employee or the consultant informing him that the profile has been rejected against the opening for which it was submitted is sent
c) Rejected - in which case it is not added to the database - click on "Reject" button, a rejected profile cannot be used for any opening in future
d) Hide - click on Hide button to hide the record, hidden record can be recalled using "Recall Hidden Profiles" button which is on the top of the tables
e) if you want to make changes to the profile use the Edit button

Whenever a referred profile is shortlisted or added to database a candidate id is created, candidate ids start with a C, for example C0076.

Manual record creation

Manual creation has two methods
1. Single record creation
2. Multiple record creation through bulk upload

Use the Quick Access menu as shown below to create candidate records manually.


1. Candidate record creation
Use the "New Candidate" button to create a new candidate record manually. This option should be used if candidates are to be created manually.

The following tabs are available to fill in the details:

a) Candidate Profile : Captures the basic details of the candidate. The fields which are to be filled up compulsorily can be selected in setup


b) Recruiter Section : In this tab you can enter the details regarding the source of the CV, Area of interest, rating the candidate on communication level etc. This tab is not visible to the candidate


c) Others : This section is filled by candidate or information is taken from the CV. Here the comfort level of the candidate for a particular job opening can be judged by the information he provides

d) Family Details : Details of family members are capture in this tab

e) Old History : Old History tab shows a summary of all jobs where this candidate has been interviewed, the final status. Details of feedback received during those interactions can also be viewed using "View Details" hyperlink. This tab is not visible to the candidate.

Candidates can access their profiles and update it when they are shortlisted for a job opening. Refer article on Profile updation by candidate for more details.

2. Candidate creation through bulk upload
Click on "Candidate Upload" button in Quick Access menu, you will be navigate to the bulk upload page.


Click on "Download Template" button to download the excel file which you can then fill up and upload back. You can also download the master data which is useful in filling up the excel file using the "Download Master Data" button.
