Onboarding process is used to add users to EazeWork HRMS. There are two types of onboarding
1. Addition of old / existing employee's - this activity happens when the company starts using the software
2. Addition of new joiners - new joiners need to be added to EazeWork, through this process you can manage all aspects of new joiner onboarding.
Different process can be designed for each of the scenarios. The default process which comes with the system is designed for addition of new joiners scenario.
Onboarding work flow is shown below.
Emails which are sent to employees at various stages are shown below -
1. Setting up onboarding process
Data which is to be filled up by the employees during onboarding can be configured in setup by Application Administrator. Different onboarding forms can be designed for different "types"(regular / retainer / subcontractor / trainee of employees. Refer article on Onboarding Setup for more details.
2. Adding employees
New
employees can be added to EazeWork in the following ways
1. By HR Manager / HR Executive - refer article
2.
By a Manager through new employee addition request - refer article
3. Through Recruitment module on confirmation of joining - refer article
4. From group company through Intercompany Transfer process - refer article
3. Account validation
Employees will receive a welcome email with a validation link using which they
would be able to validate their email id and also setup their username and password.
They would be able to login to their account after they validate their email
id but they would be able to start using the processes and features only after
HR Manager updates their record (updated as joined).
4. Onboarding Form
Once
they have validated their account employees would be able to login and review
their profile details and update / modify them. Different onboarding forms can be designed for different types of employees. You can use the optional, mandatory and mandatory if available settings to take all the required inputs appropriately during onboarding. Refer to the article on Onboarding Form for more details.
5. Onboarding Activities
Onboarding activities can be configured in setup. There are four type of onboarding activities
1. Email id creation - this should be used if you want all the employees to use only company email ids. The email id is created by IT Manager based on the notification he gets on employee record creation. The Account validation email will be sent to the employee automatically as soon as his email id is updated.
2. Background verification - this activity allows the HR team to update the results of background verification, BGV can be done internally or externally
3. Asset allocation - if you want to allocate a laptop / desktop or any other assets to the employee then asset allocation activities can be created. This option will be available only if Admin & Assets Management module is activated. The asset allocation request will be sent to IT / Office Manager on employee record creation.
4. Other activities - if you want to notify the manager or department head for doing a meet and greet session or any orientation training or any other training then you can create these also as activities.
Different set of onboarding activities can be mapped to different types of employees.
All the activity owners will get an alert for completing on-boarding activities. If there is a change in date of joining or if the employee is updated as did not join (for cases which fail verification or do not turn up) then also the activity owners will get an alert and the pending activity will be removed. On the day of joining system will send an alert to HR Manager
