Recruitment process setup

Menu Path: Setup > HR Setup > Recruitment > Processes tab
Accessible: Application Administration

In the second tab parameters which are used to design various processes in Recruitment module are given. The page is further subdivided into four tabs.

1. Overall tab


- Show dashboard panel : if this parameter is selected as No then the summary statistics presented on the top of Recruitment dashboard are hidden
- Placement agency portal : if you want to provide access to your placement consultants you can activate this parameter. After activating the parameter you will have to create the agency record on Agency setup tab. Refer article for more details
- Background verification through agency- if you want to use external agencies for completing background verification of candidates you can activate this parameter. Refer article for more details
Referral program activation : only when it is activated from here will the Recruitment Manager be able to release an opening for internal referrals
Referral payout xx months from date of joining : based on this parameter system will send an alert to the referring employee, Recruitment Manager and Account Head for payment of referral bonus. This alert will come after the months given in setup. Alert date = Employee's date of joining + No of months given in setup - 7 (alert is being sent 7 days before the due date)
Allow recruitment team to participate in referral program : if this parameter is set as yes then recruitment team will be able to refer candidates and participate in the referral program 

2. Candidate tab



Candidate who has been rejected cannot be considered again for xx months : based on this setting system will not allow the Recruiters to shortlist a candidate who has been recently rejected for a new job opening
- Register email for direct receipt of resumes through email : you can setup one (or more) emails in your company which can be reserved for receiving resumes from applicants. Typically it is an email like careers@companyname.com. All the emails sent to this Email ID can be automatically forwarded to EazeWork HRMS and can be seen in the Candidates page. Please follow the following steps to integrate your email
1. Update the email which will receive resumes in the table shown above, status will be shown as "Submitted"
2. Setup forwarding in your email account to parsecv@eazework.com (manual process)
3. Your Account Manager will share and validation code to you on email, please update this code in your email setup
4. Status of email will be shown as "Registered", if it is not showing as Registered please inform your Account Manager

If you want to change the email id, use the "Delete" button and then follow the same process as outlined above to register another email id.

3. Opening tab



- Job opening creation by Hiring manager : through this parameter you can control the scope of job opening which can be created by a hiring manager. For e.g., if the selection is "Own Department" and "Own Division" then when the hiring manager creates a job opening the Department and Division fields will be filled up with his department / division and locked. To select Own Department / Own Division / Own Company parameters you will have to unselect "All"
- Map transfers to new job openings : if you want to allow hiring managers to create a job opening against a transfer out from his department / division / company you can enable this parameter. When a job opening is created in the "Opening Type" dropdown the hiring manager can select Transfer and a list of all employees who have been transferred will be visible. Backfill / Transfer mapping allowed only of same Employee Type : through this parameter you can control that the job opening is created only for the same employee type (Regular / Retainer / Subcontractor / Trainee) as the employee who has been separated or transferred out
Cut off date for backfill / transfer list : this cutoff date is used to limit the number of records which are shown for mapping for backfill / transfer cases. Separations are linked to last working day and Transfers are linked to the date of last transfer
Allow Recruiter(s) to edit a released Job Opening : if this parameter is selected then Recruiters can modify a released job opening. Any changes they make is recorded and visible on the bottom of the job opening form in the comments section
Open the vacancy if the candidate who has joined resigns within xx days : using the parameter you can recreate the vacancy if the candidate resigns with the specified time-period, if this parameter is left blank then the vacancy will not be recreated. If all the vacancies had been filled and the job opening had been closed then the job opening will be reopened


The process for job opening approval can be configured from the tables as shown above. Job openings will always be initiated by Hiring Manager. Multiple levels of approvers can be configured. If the configuration is changed the revised configuration will be applicable only to the new requests.

4. Offer tab


Offer acceptance / rejection by candidate : based on this parameter recruiter will send an alert to candidate for offer acceptance. Refer Offer letter generation and joining for more details
Upload of signed offer letter compulsory : if this parameter is selected as Yes then if the previous parameter is also Yes then the candidate will have to upload a file while accepting the offer through email. Independent of the previous parameter the Recruiter will have to upload the scanned copy of offer letter as acceptance of offer if candidate has not done it


The process for offer approval can be configured from the tables as shown above. Offers will always be initiated by Recruiter. Multiple levels of approvers can be configured. If the configuration is changed the revised configuration will be applicable only to the new requests.

From this table you can define the reasons for not joining which are to be mapped when a candidate rejects an offer.
