Summary of EazeWork HRMS modules

1. HR Info System

This is the base module and is available by default, it cannot be deactivated. This module can be broadly divided into the following features.

1.1 Core HRIS

  1. Employee Data Management - Maintain list of employees with details like Department, Division, Level, Date of Joining, Designation, Reporting manager, Family details, Education and important personal details
  2. Flexibility to decide which sections / fields are to be enabled in the HR record
  3. Control permission to make changes as per requirement. Enable approval work flow if needed. Audit trail of changes
  4. Skill tracking - multi level skills can be defined and employees can be mapped, updation of skills
  5. View company’s organization structure with reporting relationships in one page, manage visibility as needed
  6. Customize the system as per your organization's structure, policies and processes, add fields to HRIS as per your requirement
  7. Track employment status like Working, Probation, Serving notice period
  8. End to end processes for Probation confirmation including generation of confirmation letters
  9. Manage transfers across companies (if multiple companies are activated), departments, locations
  10. Manage different categories of employees - Regular, Retainer and Sub contractor with different impact on payroll, compliances and with different policies

1.2 Document Management

  1. Generate documents like Offer letter, Appointment letter, Probation confirmation letter, Promotion, Transfer, Address letter, Salary Increment letters through integration with other modules
  2. Design and issue customized letters based on your company’s requirements. Refer article for more details
  3. Maintain and update employee documents like certifications, past employment records, ID documents, resume in a centralized place. Get timely reminders when documents validity is expiring

1.3 Company Intranet

  1. Manage company announcements, company news, share important updates, publish important links
  2. Keep HR policy documents in one central place, publish and track acceptance of employees on policy changes
  3. Control the sharing of formats / policies / operating manuals
  4. Intimation of events, birthdays, anniversaries

2. Onboarding & Separations

This module is also a default module and cannot be deactivated.

2.1 Employee Onboarding

  1. Records for new joiners can be centrally updated. Fields needed to be updated by HR and by Employee can be defined ensuring accurate record updation
  2. New employees can be added to the system through the mobile application by authorized personnel through a configurable workflow
  3. Activity check list for email id creation, asset allocation, document verification, orientation training can be created
  4. Additional activities can be added and their completion tracked
  5. Alerts can be sent out to Office Admin / HR Manager / IT Manager to ensure that employee on-boarding activities are performed in time
  6. Appointment letter can be generated post verification for successful hires
  7. Employee can updated as a no-show / did not join, this bypasses the separation process

2.2 Separations Management

  1. Separation of employee due to resignation, management initiated separation, retirement or death can be all managed
  2. Retirement policy can be defined enabling accurate processing of retirement cases
  3. Resignation process including submission by Employee, HR or Manager, approval and all clearances can be managed. Checklist can be designed which would be updated by all clearance approvers
  4. Full and final processing and all clearances are managed in the system
  5. Recovery of outstanding advances and assets not returned is supported. Shortfall in notice period can be recovered in full and final
  6. Resignation withdrawal and reinstatement is possible
  7. Exit interviews can be updated by HR or by the employee even after leaving the company
  8. Intercompany Transfer through separation
      - Process of transferring form one company to another within the group
      - Records of employees will be closed completely in one company and new record will be initiated in the new company
      - Old company data will be visible as resigned employee in old company

3. Attendance & Leave Management

This module helps in managing attendance and leaves. There are many features in this module.

3.1 Calendar & Shift Management

  1. Define multiple calendars to allow for different holidays for different offices across different time zones
  2. Publish working calendar, holiday lists, shift details
  3. Manage employee rosters / shifts including night shift working
  4. Allow changes in shift from back date, automatic correction of attendance times based on shift data if change is made

3.2 Leave Management

  1. Manage any types and any number of leaves, define your own leave policies and approval workflows
  2. Customize leave submission, approval workflow for different leave types
  3. Leave Without Pay and Leave Encashment options
  4. Compensatory off and Restricted holidays options

3.3 Attendance Management

  1. Capture attendance through the following methods
      - Biometric / Smart Card : integration with an external smart card based or bio-metric based attendance recording system
      - Web based : with IP address tracking 
      - Mobile application : with location tracking / geo-fencing and with selfie, location from where attendance is being marked is captured through latitude / longitude by default, if lat / long is to be converted to address then the option to use geo-coding is also available (geo-coding API is priced separately)
      - Manual updation through excel
  2. Employees, Managers and HR Managers have the option of updating missing attendance records
  3. Managers can mark attendance for their team members through the mobile app
  4. System can be configured to track both in-time and out-time and to track overtime if required
  5. Track late coming and Short working hours send timely reminders / alerts
  6. Missing attendance and errors in time clocking can be corrected and sent for approval
  7. Leaves can be created by HR Manager in bulk for late coming / short working with easy to use interface

3.4 Tour Management

  1. Employees can submit a tour request if they are required to travel out of station for a full day or more
  2. Tours can be approved with multi level workflow, attendance status is automatically updated as On Tour
  3. Tickets and Accommodation can be booked by Travel Coordinator for an approved tour and made available to the employee
  4. Tour cost can be claimed in Expense module and linked to the Tour request

3.5. Work From Home

  1. Work from home option can be enabled based on company policy to all or to a group of employees
  2. Employees can submit a work from home request which can be approved with a multi level workflow
  3. Attendance status is automatically managed

3.6 Outdoor Duty

  1. If an employee has to leave office early or is planning to reach office late due to work which is to be done out of office then Outdoor duty request can be submitted
  2. Attendance time and working hour duration is corrected based on approved Outdoor duty times

3.7 Location Tracking

  1. Location of employee can be tracked with the help of the mobile app
  2. Basic location tracking – employee has to update the location manually
  3. Advanced location tracking – location is tracked using background location service on the mobile app
  4. Current location and route map can be seen for employees by Managers / HR team

4. Admin and Asset Management

This module enables the process for asset allocation, cab booking and gate pass issue
  1. Company assets which are being used by employees like laptops, mobile phones, vehicles can be managed with this module
  2. Allocation of assets is against a request given by manager and from inventory
  3. Consumables like Visiting card, Stationary can also be ordered
  4. Gate Pass issue of assets can be managed
  5. Asset can be mapped to departments and allocation controlled
  6. Cab requests can be booked and tracked
  7. During the time of resignation / separation the allocated assets are highlighted

5. Advances and Expense Claims

This module enables the processes for taking an advance and claiming business, travel and other related expenses by employees.
  1. Employees can take an advance based with proper approval workflow. Payments can be made through bank transfer or cash or cheque
  2. Advances can be set-off against expense claims or automatically recovered in payroll based on rules
  3. Expense claim process includes approval by manager, approval by accounts, verification by payables team and tracking of actual payment
  4. Complex policies for managing claims like travel, stay, per diem, employee engagement, monthly mobile expenses etc. can be modeled, claims that are within policy can be auto approved and those violating the policy can be exception approved
  5. Expenses can be tagged to Projects, Customers for proper accounting
  6. Receipts or other documents can be attached with the voucher, claims can be in one currency and payment can be in another currency
  7. Employees will have complete visibility on the status of their requests

6. Project and Resource Management

This module helps to manage creation of projects, assigning employees on projects
  1. Projects can be created for internal or external customers
  2. Positions can be created based on requirements of Projects
  3. Resource Managers can categorize employees based on their status like Bench, Training, On Project, Long Leave and track utilization
  4. Project Managers or Resource Managers can map employees to Projects against open positions. More than one employee can be mapped on a position with variable allocation / loading
  5. Position and Project level budgeted versus actual cost can be tracked
  6. Charge Codes can be created and mapped to Projects
  7. Costs can be captured by employee level and billing rates can be defined for each employee who is part of a project

7. Timesheet Management

This module covers the process of filling up timesheets by employees against projects and charge codes.
  1. Daily or Weekly timesheets can be filled by employee and to be approved by Manager or Project Manager
  2. Time is filled against Charge Codes which can be tracked as billable or non-billable
  3. Overtime can be captured in timesheets and paid as per overtime schemes once approved in payroll
  4. Summary and detailed reports help in tracking project profitability and employee utilization levels

8. Training Management

This module helps in planning and executing trainings
  1. Employee level training plan can be created based on inputs from the performance cycle or manually updated by the reporting manager. Employee can also request specific trainings which on approval get included in his training plan
  2. Training calendar can be maintained centrally or by location, can be viewed by all in the company\
  3. Training manager can plan for training, create a list of eligible employees, decide the nomination process and share the training content / documents / reading material associated with the training with employees
  4. Names of trainers and venue details can be managed
  5. Nominations and confirmation based on training capacity and waiting list can be managed
  6. Training and trainer feedback can be taken after the training is over
  7. Managers can nominate or withdraw employees confirmed for trainings based on work load

9. Recruitment

Recruitment module covers the end to end process of hiring a new employee
  1. Manage hiring requests / job openings, track new requirements or hire for back filling against exits
  2. Maintain uniqueness and track source of CVs
  3. Parse resumes coming through email or manually uploaded and store data in Candidate database, Parsing is an optional feature and parsing cost would be charged separately
  4. Login for Placement Agency for them to login and provide resumes (needs Agency license
  5. Integrate with job portals through email and automatically update all resumes received from these sources in the database (this feature will not work without parsing)
  6. Integrate the career page with Company’s website or use default career page to seamlessly push jobs and received resumes
  7. Launch and manage employee referral programs
  8. Monitor recruitment through a comprehensive dashboard
  9. Track candidates across the process of recruitment – short listing, interview, offer generation and post offer
  10. Schedule interviews
  11. Create offer letters through a configurable approval process and email it to the employee directly
  12. Review status and performance against target timelines
  13. Transfer candidates who have accepted the offer to HRIS

    Note - Recruiter and Agency licenses are priced separately. Recruiter license is needed compulsorily to for usage this module, Agency license is optional. Parsing is an optional feature which will be charged if taken.

10. Performance Management

Performance management module helps in conducting structured performance review for employees. If Project module is activated then project based assessment can also be carried out.
  1. Manage Annual Performance Review process through a customizable process which allows you to select from various design options and lends itself to a balanced scorecard based approach
  2. Different performance cycles can be setup within one company with different process design
  3. Define Goals / Performance criteria based on employee profile and templates
  4. Configurable rating scale
  5. Select from Annual, Half Yearly, Quarterly or Monthly review processes
  6. Track targets and actual achievement
  7. Use of self-assessment and manager feedback
  8. Completely managed using workflows
  9. Use a quantitative rating and percentages to quantify the employee year end rating
  10. Project Managers and Employees can participate in project based reviews through the Project Assessment process if Projects Module is activated

11. Helpdesk

Helpdesk module provides the option to employees / support team to raise tickets
  1. Employees can raise and direct their queries to HR / Payroll / Admin / IT / Accounts
  2. Helpdesk query is redirected automatically to the right person
  3. Priority and closure of query can be tracked

12. Surveys and Polls

12.1 Survey features

  1. Administrator can create custom surveys
  2. HR Manager can release surveys to a defined target group of employee
  3. Option to keep the survey confidential
  4. Send out reminders to incomplete survey
  5. Analyze results through consolidated reports

12.2 Poll features

  1. Create a snap poll with Yes/No answers or a more detailed poll with different options
  2. Option to keep the poll confidential
  3. Option to show the poll results to the participant

13. Field Force Management

Field force management module provides the following features
  1. Customer location management – create and manage customer locations with 100% accurate placement on map
  2. Visit management – plan customer visits, check-in / check-out when at customer location, update visit details
  3. Field force tracking – track location of team members, route taken through the day and timeline depicting time spent at various locations and time spent traveling can be viewed
    Note: To use this module a separate “Field” license is needed, which is priced separately.

14. Payroll

14.1 India Payroll

EazeWork's payroll application is completely compliant with Indian laws and regulations. Details of Payroll features are given in payroll section. It allows for a company to effortlessly run their payroll in-house and reduce dependence on external partners. Application features are -
  1. Can be used for both Salary and Expense reimbursements as a part of monthly salary
  2. Map Monthly and Annual Taxable, Tax-free and Perquisite salary heads
  3. Automatic statutory and optional deductions like VPF, EPF, EPS, ESI, LWF, Professional tax
  4. Any changes in statutory laws are updated by EazeWork ensuring compliance are met
  5. Employees can download their salary slips, Form 16, Tax calculations and generate their nomination forms
  6. Employees can submit declarations for Tax Savings, Other Income, House Rent, VPF
  7. Information on LTA and also company loans can be modeled and used for salary reimbursements and deductions
  8. Employees can request advances and loans which are then recovered from payroll
  9. Employees can manage their own salary through Flexi benefit design option
  10. Salary increase with retrospective effect and payment of arrears
